Import Your Clients via CSV

No longer using Velocity or Filogix but need to import client data? Client data stored in another platform and not sure where to start?

Welcome to Ownwell! You’re just a few steps away from turbo charging your client engagement.

Before you get started, you'll need to import your client data into Ownwell. Importing your clients via CSV (bulk import) is as simple as providing a file to the Ownwell team - we'll handle the rest!

Are your clients in another platform? We can import them as long as we have enough information!

  1. Option #1 - Import with complete mortgage details - Best if you have the client’s current mortgage information.
    ​

  2. Option #2 - Import with property details only - Useful if the client’s mortgage has matured or if we only have partial information (incomplete mortgage data). Clients imported this way will receive a partial version of the report, including the home value module, while the mortgage-related modules will remain blurred until they add their mortgage details through their report.

​Here's how to export Client Data from Velocity:
​
1. Login to your Velocity account
​
2. In your Navigation Bar select "Reports" & then select "Build a Report"
​


3. Click the "Create New Report" button
​


4. Now we're going to configure the Velocity report. This is listed as "Report Set Up - Step 1" in Velocity.
​

Report Type: Select "Deals"
​

Status: Select the status you use to indicate a funded deal. Most brokers will use "Complete" or "Funded and Awaiting Payment"
​

Application Type: Select "Approval"
​

Assigned User: Select [Your Name]
​
​Date Type: Select "Maturity Date"
​

Date Range: Select a range to include mortgages that haven't matured yet. Typically we recommend selecting today's date to 10 years from now.
​


5. Now we're going to add filters to our report. This is listed as "Report Filters - Step 2" in Velocity.
​
In the report filters section, set "Include All Borrowers" to "Yes" and click the "Configure Report" button.
​

*This is important because, without all borrowers, we won't know what the household income is (only the income of the primary borrower).

6. In the report layout section you're going to check all of the boxes in the general section and then you're going to check off every "select all" box! This is listed as "Report Layout - Step 3" in Velocity.

7. Now we're going to generate the report! Click on the "Generate Report" button
​


8. Once the report is ready, click "Export CSV" to download your data.
​
9. Now all you have to do is send us your CSV file! After exporting the CSV file, email it to us at [email protected] πŸ“¨

  • The import process may take up to 5 business days to complete. We will keep you updated along the way and will notify you once your data has been successfully imported!
    ​


Here are the steps: ​Here's how to export Client Data from Filogix:
​
1. Login to your Filogix Expert account using this link here
​
2. In your menu bar, Select "Tools"
​
3. Select "Extract to CRM"
​
4. Now we're going to set the report filters. This is listed as "CRM Extract Deal Search Criteria" in Filogix.
​
​Level: Click the checkbox next to Level and Select [Your Name]
​
​Maturity Date: Click the checkbox next to Maturity Date and Set "From" to today's date and "To" to 10 years from now.
​


5. Click Search
​


6. Check off "Select All Unlocked Records". This is listed as "CRM Extract Search Results" in Filogix.
​


7. For CSV File: Select "Consolidated". This is listed as the "Extract Type" in Filogix.
​


8. Once the report is ready, you're going to download the CSV export file. The last step is to complete the CSV - You can do this manually or you can have Ownwell handle it for you!

Filogix does not export the following fields:

  • Original Property Value (Purchase Price)

  • Property Type (Detached, Condo, etc.)

  • Household Income

In order to successfully import your clients to Ownwell, we require these 3 fields - so we have two options:

Option 1 - Download the CSV and Complete it yourself.

You can save it or convert it to a spreadsheet and then add these 3 columns of information (original property value, property type, and household income).

Fill in the missing details for each client file and then email it to Ownwell's Support team at [email protected] πŸ“¨

Option 2 - Ownwell can handle this process for you within 5 business days.
​
We've built a tool that can automatically look up each file number from the CSV file in your Filogix account and populate the missing details in the CSV for you.
​
For this option, we will need temporary access to your Filogix account.
​
πŸ“¨ If you'd like us to take care of this for you - email us at [email protected] - Send us the CSV export file and let us know that you'd like us to populate the missing 3 fields for you. We will provide instructions for granting temporary access.

Once we've completed this work, we will notify you and proceed with the client data import.

*After receiving your client data (including the 3 fields) the import process may take up to 5 business days to complete.
