Get Your Data Ready for Import (Data Template Guide)

Want to import clients into Ownwell but not sure where to start?

The Ownwell Import Template includes the recommended format for client imports, along with descriptions for every field directly in the spreadsheet.

You can download the template from the bottom of this article or directly within Ownwell.

Before You Begin

Before starting, make sure you have access to your current active funded mortgage deals.

This process will involve taking that data and inputting it into our specific import template, which you will upload into Ownwell to preview and import clients.

For your first import, your goal is typically to export active funded mortgages. You can follow these same steps to pull other files later, also.


Step 1: Download the Template

You can access the latest import template in two ways:

Log in to your Ownwell account.

Navigate to Clients.

Click Import

Select Spreadsheet

Click Download Excel Template

Step 2: Complete the Template

Open the template and enter your client information.

The template includes descriptions directly below each column header to help you understand:

  • What information belongs in each field

  • How the information is used in Ownwell

  • Whether the field is optional or recommended

Step 3: Save Your File as a CSV

Once you've finished entering your client information, save the completed file to your computer.

Before uploading, verify that:

  • Client names are entered correctly

  • Email addresses are accurate

  • Property addresses are complete

  • Mortgage details are populated where available

Step 4: Upload the File

  1. Return to Clients > Import

  2. Select Spreadsheet

  3. Upload your completed file

Step 5: Review and Import

After uploading your file, Ownwell will display a preview of the records being imported.

Review the information and resolve any validation errors before completing the import.

Once everything looks correct, continue with the import process.

About the Template

The new import template includes field descriptions directly within the spreadsheet to help you understand what information belongs in each column.

To successfully import a client into Ownwell, you'll typically need information such as:

  • First Name

  • Last Name

  • Email Address

Property Information

  • Property Address

  • City

  • Province

  • Postal Code

  • Property Type

  • Property Value

Mortgage Information

  • Mortgage Amount

  • Interest Rate

  • Rate Type

  • Closing Date

  • Payment Frequency

  • Amortization

  • Term

  • Lender

Providing complete mortgage and property information allows Ownwell to generate accurate homeowner reports and opportunities.

Optional Information

The template also includes optional fields that can help create a more complete client profile within Ownwell.

Examples include:

  • Phone Number

  • Household Income (though it is preferred for greater accuracy)

  • Credit Score

  • Property Taxes

  • Heating Costs

  • Condo Fees
