Before You Begin
Before connecting Scarlett, make sure:
You have access to your Scarlett account
You have permission to create API keys
Your deal statuses in Scarlett are up to date
⚠️ Ownwell only imports mortgages that are in the Closed / Funded or Paid & Finalized stages within Scarlett.
Step 1: Start the Import
1. Log in to Ownwell.
2. Click Import in the top-right corner.
3. Select Scarlett.
4. Click Continue.
Step 2: Select Your Account Type
Choose the option that matches your Scarlett setup.
Individual Account
Select this option if your Scarlett account only contains your own deals.
Shared Account
Select this option if multiple brokers share the same Scarlett account.
I'm Not Sure
Select this option if you're unsure which account type you have.
Click Continue.
⚠️ If you have a shared account, make sure you select Shared Account. Selecting the wrong option can result in importing deals that belong to other brokers.
Step 3: Generate an API Key in Scarlett
After selecting your account type, Ownwell will display the Import from Scarlet Screen.
Click the Scarlett Portal link provided in the instructions.
This will open Scarlett in a new browser tab. Leave the Ownwell import screen open, as you'll return to it after generating your API key.
Step 4: Open Scarlett Mortgage
Log in to Scarlett using your account credentials.
Once logged in, select Scarlett Mortgage.
Step 5: Generate an API Key
In Scarlett:
1. Click Settings from the left-hand menu.
2. Select API.
3. Click Create API Key.
Complete the form using the following settings:
-> Name: Ownwell Import
-> Permissions: Deal-Pull only
-> Agent: Select the appropriate agent
-> Click OK.
Step 6: Copy Your API Key
Scarlett will generate a new API key.
-> Copy the API key and save it as well.
⚠️ Scarlett only displays the full API key once. If you lose it, you'll need to create a new API key.
Step 7: Connect Scarlett to Ownwell
Return to the Scarlett import screen in Ownwell.
Paste the API key into the Enter your API Key field and click Import.
Step 8: Wait for Processing
Ownwell will begin retrieving and validating your Scarlett records.
Depending on the size of your database, this process can take several minutes.
Step 9: Review and Select Clients
Once processing is complete, you'll be taken to the review screen.
Records are grouped into:
Ready to Import
Errors
Warnings
Not Imported
Review the records before proceeding with the import.
After uploading, you’ll see a preview of your file.
This screen shows:
All clients in your file
Any errors
Any warnings
Any default values applied by Ownwell
Errors
Errors prevent a client from being imported.
Common causes:
Duplicate clients
Missing required data
You can:
Leave them unchecked (they will be skipped), or
Download the error file, fix it, and re-import later
Warnings
Warnings do not block import. They indicate something may need review later.
Example:
Lender not recognized
You can include or skip these clients, or download them, edit, and re-import later.
Select which clients to import
→ Review the list
→ Uncheck any clients you want to skip
Only selected clients will be imported.
What Gets Imported?
Ownwell imports mortgages that are currently in one of the following Scarlett stages:
Closed / Funded
Paid & Finalized
Mortgages in other stages are not imported through the Scarlett API connection.
For best results, ensure your deal statuses in Scarlett are accurate before starting the import.

What is the difference between an Individual Account and a Shared Account?

What do import errors mean?
Errors indicate information that must be corrected before a record can be imported. Hover over the error indicator to see the issue and update the affected field.
What do warnings mean?
Warnings are informational notices that should be reviewed before importing. They do not prevent a record from being imported.
Will Scarlett continue syncing with Ownwell after the initial import?
Yes. Once connected, Ownwell will continue syncing eligible Scarlett records automatically.
