Understanding Client Engagement Statuses

Learn what each engagement status means, how engagement is measured, and how to use engagement data to prioritize client outreach.

Overview

The Engagement column in Opportunities helps you understand how clients are interacting with the homeowner digest reports they receive from Ownwell.

Ownwell automatically assigns an engagement status based on whether clients are opening their digests and taking meaningful actions, such as asking questions, updating mortgage details, or updating their home value.

Hover over any engagement status to view the client's recent activity and see what actions they've taken in their latest digests.

Where to Find Engagement Statuses

Navigate to the Opportunities page.

Each opportunity card includes an Engagement section showing the client's current engagement level.

Hover over the engagement indicator to view recent activity from the client's latest digests.

Examples of activities you may see include:

  • Opened latest digest

  • Updated mortgage details

  • Updated home value

  • Asked a question through their report

  • Other meaningful interactions with their homeowner digest

Engagement Statuses

Very Hot

A client is classified as Very Hot when they have:

  • Read their most recent homeowner digest

  • Taken a meaningful action since reading that digest

Examples of meaningful actions include:

  • Asking a question

  • Updating mortgage details

  • Updating their home value

This status indicates recent interaction with both the report and the tools available within Ownwell.

Hot

A client is classified as Hot when they have:

  • Read their most recent homeowner digest

  • Taken a meaningful action at some point

Examples of meaningful actions include:

  • Asking a question

  • Updating mortgage details

  • Updating their home value

This status indicates the client is reading their reports and has taken a meaningful action within Ownwell.

Warm

A client is classified as Warm when they have:

  • Read their most recent homeowner digest

  • Not taken any meaningful actions to date

This status indicates the client is consuming the content being sent to them but has not yet interacted beyond reading their reports.

Cooling

A client is classified as Cooling when they have:

  • Read at least one of their last three homeowner digests

  • Not read their most recent digest

These clients have engaged with recent reports but may be showing signs of declining engagement.

A proactive follow-up or reminder about their latest report may help re-engage them.

Cold

A client is classified as Cold when they have:

  • Received homeowner digests

  • Not opened any of their last three digests

This does not necessarily mean they are not interested or do not have mortgage needs. It simply indicates they have not engaged with their recent reports.

No Digests Received

Some clients may display a dash (-) instead of an engagement status.

Hovering over the status will show:

No digests received

This means the client has not yet received their first homeowner digest.

Engagement data becomes available after the first digest has been generated and delivered.

Using Engagement Data

Engagement statuses help you understand how clients are interacting with the homeowner digests they receive and where follow-up opportunities may exist.

As a general guideline:

  1. Very Hot – The client has read their most recent digest and taken a meaningful action since reading it, such as asking a question, updating mortgage details, or updating their home value.

  2. Hot – The client has read their most recent digest and has taken a meaningful action at some point, such as asking a question, updating mortgage details, or updating their home value.

  3. Warm – The client has read their most recent digest but has never taken a meaningful action.

  4. Cooling – The client has read at least one of their last three digests, but not their most recent digest.

  5. Cold – The client has received digests but has not opened any of their last three digests.

  6. No Digests Received – The client has not yet received any homeowner digests.

Engagement should be considered alongside mortgage timelines, opportunities, and your existing relationship with the client when planning follow-up activities.

In addition to personal follow-ups, we encourage you to remind clients to watch for their Ownwell report each month. After the initial report is sent, clients will automatically receive a new report on a monthly basis.

A simple reminder can boost engagement. For example, you might say:
"Don't forget to check out your March Ownwell report - it’s coming out next week! I'd love to hear your thoughts, so feel free to email me with any comments or questions."

Consistent reminders help keep clients engaged by helping ensure they don't miss the Ownwell report while positioning you as their go-to advisor.
