Import Your Velocity CSV into Ownwell (Preview & Upload Guide)

Upload and import your Velocity CSV file into Ownwell. Learn how to review clients, handle errors and warnings, and complete your import so clients are set up correctly and ready for their first report.

Written by Arthur Rees

Once you’ve exported your data from Velocity, the next step is to upload that file into Ownwell and import your clients.

Ownwell will show you a preview of your data before anything is imported. This lets you review the file, check for issues, and choose which clients to include.

Recommended: Use the Velocity API if Available

If you have access to the Velocity API, we strongly recommend using it instead of a manual CSV export.

The API import:

  • Shows a full preview of your clients before upload

  • Highlights missing data or issues

  • Lets you select or deselect clients before importing

Use the CSV import process below if:

  • You are not using the API, or

  • You want to export a specific group of clients manually

Before You Begin

Before starting, make sure you have your Velocity CSV export file ready.

If you haven’t exported your data yet, follow this guide first:

This process will upload that file into Ownwell so you can review and import your clients.

During the import, you’ll have a chance to:

  • Skip any files with errors

  • Review warnings and decide whether to include them

You don’t need to perfect everything before importing. In most cases, it’s best to import what you can, then fix or review anything flagged afterward.

Once imported, each client’s first report is scheduled to send 7 days after import, as long as there are no Issues on the file.

Video Walkthrough

This video shows how to upload your CSV file, review your clients, handle errors and warnings, and complete the import.

Step-by-Step Walkthrough

Follow the steps below to upload your Velocity CSV, review the preview, and choose which clients to import.

The screenshots show what you'll see and where to click. Pay closest attention to the review screen, where Ownwell flags any errors or warnings before the import is completed.

Open the import tool

From your Clients dashboard:

→ Click “Add client”
→ Click the dropdown beside it
→ Click “Import clients”

Select your import source

→ Select “Velocity CSV”
→ Click “Continue”

Upload your CSV file

→ Upload your CSV file (drag and drop or click to browse)
→ Confirm the file is attached
→ Click “Continue”

Review and Select Clients

After uploading, you’ll see a preview of your file.

This screen shows:

  • All clients in your file

  • Any errors

  • Any warnings

  • Any default values applied by Ownwell

Errors

Errors prevent a client from being imported.

Common causes:

  • Duplicate clients

  • Missing required data

You can:

  • Leave them unchecked (they will be skipped), or

  • Download the error file, fix it, and re-import later

Warnings

Warnings do not block import. They indicate something may need review later.

Example:

  • Lender not recognized

You can include or skip these clients, or download them, edit, and re-import later.

Select which clients to import

→ Review the list
→ Uncheck any clients you want to skip

Only selected clients will be imported.

Seat capacity

At the bottom of the screen, you’ll see:

  • Clients already imported

  • Clients selected for import

  • Seats remaining

Use this to confirm you have enough capacity before continuing.

Start the import

→ Click “Start import”

Once you click this, Ownwell will begin processing your selected clients. You’ll see a progress bar as the import runs. When it’s complete, you’ll be taken to a summary screen showing what was imported, what was skipped, and any warnings.

Import Complete!

You’ll see a confirmation screen showing:

  • Clients imported

  • Clients skipped

  • Any imported with warnings

View Your Imported Clients

To review what was just added:

→ Go to Clients
→ Use the Recently Added filter

Or go directly here: View Recently Added Clients

🪄 What Happens Next

Once your import is complete, your clients will appear in Pending status in your dashboard.

Use the Recently Added filter to review them and confirm the data looks correct.

Each client’s first report is sent 7 days after import, as long as there are no Issues on the file.

If there are issues (for example, missing lender or invalid address), the report will be paused until they are resolved or dismissed.

After the first send, reports continue automatically each month.

FAQ

Why weren’t some clients imported?

Clients with errors are not imported. These are usually duplicates or missing required data. You can download the error file, fix those records, and import them again later.

What’s the difference between errors and warnings?

  • Errors: the client will not be imported

  • Warnings: the client can be imported, but may need review afterward

Should I import clients with warnings?

In most cases, yes.

Warnings usually indicate something to review later (for example, an unrecognized lender), not that the data is unusable.

Can I fix issues after importing?

Yes. You can import now and resolve issues inside Ownwell afterward, or correct the data and re-import those clients later.

Where can I see what I just imported?

Use the Recently Added filter in your Clients view to review new clients and confirm their details.
